Before Event:
1. Make sure you have the biography and abstract for each presenter in your session.
2. Contact all presenters and make sure they will attend. Get a biography, abstract, and if possible, copy of the presentation. If the presentation is not available, ask the presenter to bring it in the morning (on a memory stick or CD).
3. You may check for any special needs with the presenter also.
On Event Day:
1. Meet with presenter before session to make sure you have everything needed and to go over schedule, etc. This could be before the morning sessions begin or at the luncheon for the afternoon sessions.
2. Check the meeting room, to make sure you have all needed equipment.
3. During the event, control time carefully. Introduce the speaker briefly. If a speaker talks too long, give them a warning and get them to close their presentation. Leave 5 minutes for questions and discussion, unless the speaker runs over. Thank the speaker at the end.
4. Remind attendees about other later events, such as the poster session.
